STUDIO POLICIES

As a member of Elite Elements Wellness Co. we expect the very best of you. This is a space for us to come together as a community, respect one another and the space, and thrive as the very best versions of ourself. By reading this you acknowledge and understand the importance of our studio policies and how they help to create the environment that is ELITE ELEMENTS.

Class Sizes & Capacity

Our class capacity for all classes (excluding Barre) is currently set to 25 participants. This is to allow for a comfortable amount of space, proper access to equipment, and a more personalized experience with your instructor and classmates.

Booking

We offer a wide variety of class styles multiple times a day, 7 days a week. Our classes open for booking 1 week out and you can continue to book up to 10-minutes prior to class start time as long as there is space and provided you can still arrive on time. In order to book classes, you must create an account, sign our online waiver, and have a valid purchase option on your account.

 

Our Recovery Room and 1 on 1 Training Sessions also open for booking 1 week out. If you are trying to book a 1 on 1 Training session, the trainer you choose must approve the appointment request. Please keep an eye out for the approval email after requesting a training time. If for whatever reason the trainer is unable to make that time work, you will be able to book an alternative time or with an alternative trainer. However, if a trainer's name appears on the schedule with availabilities to book, the training session request should be approved by them.

Waitlists

If the class you were hoping to attend is full, no need to fret…we have room for you to jump on the class waitlist! We strongly encourage you to join the waitlist as more often than not, you will make it in to class. You will be notified via email and our app if you are moved from the waitlist into class. Please note, you can be added from the waitlist into the class up to 1-hour prior to class start time! If you no longer plan to attend class, please remove yourself from the waitlist so that other members have the opportunity to attend and so that you can avoid any late cancel or no-show fees if you do get added into class and then do not attend.

Late Cancel & No Shows

Studio Classes

Our late cancel policy for studio classes is 3-hours prior to class start time. This means, if you are no longer able to attend a class booking, you must cancel at least 3-hours prior to class start time to avoid getting charged our $10 late cancel fee. If you are booked for a class and simply do not show up, you will be charged a $20 no-show fee. This is a strict policy to avoid members taking spots in classes and then not attending. We want our classes to be full and for everyone to have the opportunity to attend the classes they desire. When people fill the bookings and then do not attend, it leaves less room for other members to book in. We do understand that emergencies happen so we will do our best to accommodate you but if it is a recurring pattern you will be charged.

 

Recovery Room

Since Recovery Room sessions are single bookings for 1 person only and have less availability each day, our cancellation window is 5 hours prior to appointment time. This means, if you book a Recovery Room session, you must cancel 5 hours prior to your appointment time to avoid getting charged. There is no waitlist for Recovery Room sessions so if you late cancel or no-show the room goes unused. Due to the preceding, if you late cancel or no show your Recovery Room appointment, you will be charged the full price as if you attended the session.

 

1 on 1 Training Sessions

Similar to the Recovery Room, 1 on 1 Training sessions are single bookings with only select availability each day. These sessions are private and personalized appointments with a trainer who schedules the appointment into their day. This means our cancellation policy for 1 on 1 Training sessions is 8 hours to give our trainers ample amount of notice. Simply put, if you book a 1 on 1 session, you must cancel at least 8 hours prior to your appointment time otherwise you will be charged full price as if you attended the session. A good rule of thumb is to check your schedule for the next day, and cancel before you go to bed if you are no longer able to make your training session. The reason for this is that 1 on 1 training session funds go directly to our trainers. If our trainers plan their day, make their way downtown and show up for the session you booked, and then you do no attend, they would be out time and money. Sometimes your appointment is the only reason our trainer is coming in that day. We not only value you as clients but we value the time and energy our staff puts in and we want to compensate them for that regardless of if a client shows or not. If they show up for their booked sessions, they should be paid.

 

Events

The cancellation policies for our events are event specific. Please read the full details of the event and become aware of the cancellation policies before booking.

Time Management

Following our late cancel and no-show policies, it is important to discuss time management. This is a valuable life skill and we are all about giving our members the life skills they need to live their most optimal lives. This is why we have a strict no late entry policy for studio classes. There are two main reasons for this: 1) It completely disrupts the class and the instructor when people shuffle in after the class is already in session 2) For some of our workouts that involve heavier weights, it is not safe to show up late with zero warm up and start lifting heavy.

 

If we have not heard from you 3 minutes prior to class start time, your space may be given away to anyone on the waitlist who has shown up hoping for a spot. If you are running late but still think you will make it just in time, please call the studio to let them know so that your spot isn’t given away. Regardless, if class start time comes and you have not yet arrived, you will be unable to enter class. There are no exceptions to this policy. We suggest planning to be to class 10-15 minutes early. This gives you some extra time before class in case you get caught in traffic or trying to find parking.

 

If you are late for a 1 on 1 Training session or Recovery Room session you will not be refused, you simply will just have less time left to enjoy your booking.

Sickness

Be mindful if you are feeling under the weather. If you are feeling ill, please stay home out of curtesy to your other classmates. Rest is what your body needs the most. If you are experiencing sickness for an extended period time, please reach out to us and we can put your membership on hold for the time being until you are feeling well enough to return to the space.

Pregnancy & Age 

Please make sure that you have obtained medical clearance from your doctor to participate in all styles of physical activity including cardio, weight training and yoga before booking a class. If there are restrictions to the types of movement you are able to participate in, then understand it is your responsibility to only take class styles that are appropriate. As a reminder, we will be adding infrared panels in during the winter. Still, not all of our classes will be heated with these panels. Anyone who is pregnant is NOT permitted in infrared heated classes or the sauna/recovery room. Understand that it is your responsibility to only attend non-heated classes if you are pregnant. Alternatively, as an exception to our membership hold policy, if you become pregnant and would like to put your membership on hold for the duration of your pregnancy, this is something we can accommodate. Please reach out to someone on staff if you have any questions surrounding exercise, our services, and pregnancy.

 

No one under the age of 16 is permitted in the Recovery Room. Anyone who is under the age of 16 and wanting to participate in events or classes will be reviewed on a case by case basis. Depending on age/experience/maturity, if Elite Elements determines there is minimal risk in the individual participating, then a parent/guardian signature will be required.

Mat & Towel Rentals

We encourage you to bring your own mat to class, especially for yoga and yoga fusion class styles. For some classes like Bootcamp and kickboxing, mats are not essential. If you forgot or need a mat we have mats available for rental. Towels can also be rented for showers. Towels are included for free in your Recovery Room session.                                   

Dress Code

There is no real dress code for coming to class. We just ask that you dress in comfortable, appropriate clothing that is easy to move in. All of our classes are on soft studio flooring and shoes are not needed. Sock feet or bare feet is preferred as shoes can scuff and break down our studio flooring over time. Know that our studio floors get cleaned and sanitized between each class. If you have any medical reasons why you need to wear shoes for support, just let a staff know. We would ask you bring a separate pair of indoor shoes to wear for the class if this is the case. Although, working out in bare feet is actually great for building up all the small support muscles in your feet and ankles!

 

In the Recovery Room and Sauna specifically, bathing suits, shorts, or sports bras and spandex are appropriate. We ask that you please sit on a towel for hygienic reasons while in the sauna and while sitting on the lounging chair within the recovery room space. We are not short on towels so if your towel gets sweaty or wet by all means take a new clean one!

Photography/Videography

Sometimes we may be filming content for our website or social media within our space to showcase our community and all that we offer. We will always do our best to let members know of this in advance. Please know that you are always welcome to let us know if you do not wish to be featured in this content.

Cell Phones

We acknowledge the importance of cell phones in our daily lives but it is important to set guidelines to maintain a respectful and focused environment while class is in session. During classes, cell phones must be silenced and darkened to minimize distractions. Texting and calls are prohibited during class time. We encourage you to leave your cell phone in your bag or in a cubby on the wall within the studio space to avoid temptation. Your Recovery Room session is a time for you to relax and de-stress. We recommend cell phones left in bags while you enjoy your Recovery Room time.
